Controller of Personal Information

Any personal information processed by Digital Safety in connection with this Privacy Policy is controlled by Digital Safety CIC, which is considered the "data controller" of your personal information under European Union and UK data protection law.

There may be occasions where we work in partnership with other parties who also have access to and process your personal data and will also separately be considered a "data controller" under European Union and UK data protection law. You can access the privacy policies of the other partners via their own websites.

When using our website we collect the following data

We may ask you for certain information to give you the best possible experience when you engage with us and when you use our services. Invariably this will be basic personal contact information (name, email address, contact telephone number).

There may be occasions when we require additional personal information which we will seek your consent to process, proceed via contract or act to service legitimate interests of both parties.

We will collect other information about you and the devices you use to access our website, or we may ask third parties to do this for us, using technologies such as cookies. For more specific information please see our Cookies Policy.

When and why do we collect 'sensitive personal data'?

Certain categories of personal information — such as that about race, ethnicity, religion, health, sexuality or biometric information — are special categories of data requiring additional protection under European Union and UK data protection law, referred to here as "sensitive personal data". Generally, we try to limit the circumstances where we collect and process sensitive personal data; however where necessary we will invariably seek your explicit "opt in" consent.

What do we use your personal information for?

We will process your personal data as a customer, partner or service provider in order to undertake our operational activities, to provide services as detailed within our company website and discharge our obligations as detailed within any contract.

What is our legal basis for using your personal information?

Digital Safety will only process your personal information where we have a legal basis to do so. The legal basis will depend on the reason or reasons Digital Safety collected and needs to use your information. Under EU and UK data protection laws, in almost all cases the legal basis will be:

  • Because we need to use your information so that we can process your request for our services.
  • Because it is in Digital Safety's legitimate interests to use your personal information to operate and improve our business.
  • Because Digital Safety needs to use your personal information to comply with a legal obligation.
  • To protect the vital interests of you or another person.
  • Because you have consented to Digital Safety using your information for a particular purpose.

With whom do we share your data

We invariably do not share your data and merely process it internally within Digital Safety in accordance with our lawful basis principles. If there is a requirement to share with third parties, we will only do so in exceptional circumstances — either with your explicit consent, in compliance with any contractual obligations, through normal business activities to preserve legitimate interests, or in compliance with the legal provisions as detailed within the Act.

How long do we keep your data

We will keep your information for as long as necessary in order to fulfil the service we are providing, and to comply with local laws. We operate a data deletion process which is dependent on the nature of the data and the nature of the processing. This is detailed within our Record of Processing Activity.

Where do we store your data

Your data will be stored on encrypted computer systems in the UK. Below is a list of partners or service providers we use that may receive a copy of your data, who may operate outside of the UK/Europe:

Data security

No customer information is kept on our website. Client reports or data transmitted is encrypted for transit. Any personal data is held on encrypted storage devices.

Our controls

Digital Safety is committed to keeping your personal data safe and secure. Our security measures include:

  • Encryption of data
  • Pre-contract screening of all third parties who may handle your personal data
  • Scenario planning and crisis management exercises to ensure we are ready to respond to cyber security attacks and data security incidents
  • Penetration testing of systems
  • Security controls which protect the IT infrastructure from external attack and unauthorised access
  • Internal policies setting out our data security approach and training for employees

Your rights with respect to personal data

  • You have the right to know why your personal data is needed, what will happen to it, and how long it will be retained for.
  • Right of access: You have the right to access your personal data that is known to us.
  • Right to rectification: You have the right to supplement, correct, have deleted or blocked your personal data whenever you wish.
  • If you give us your consent to process your data, you have the right to revoke that consent and to have your personal data deleted.
  • Right to transfer your data: You have the right to request all your personal data from the controller and transfer it in its entirety to another controller.
  • Right to object: You may object to the processing of your data. We comply with this, unless there are justified grounds for processing.

To exercise these rights, please contact us:
